About this role

This is a coordination and ownership role for a company that handles permit applications on behalf of its clients in the United States. You will take assigned projects from start to finish and be the person responsible for making sure they move. In practice that means reviewing every active project daily, knowing which deadlines are close, and knowing what each one is waiting on. Most of what a project waits on comes from someone else - a surveyor, an engineer, an attorney, a wetland professional, or the client themselves. Getting those deliverables in is the job, and it takes persistence: knowing who to chase, how to chase them, and when a polite reminder should become a phone call or an escalation. You will manage incoming communications, decide the right follow-up method based on urgency and who you are dealing with, review incoming documents for obvious problems, and keep project records accurate. This is explicitly not a task-checklist role. Nobody hands you a list. You work out what needs to happen next and you make it happen. You do not need any background in permitting, construction or planning - full training on processes, terminology and requirements is provided. What matters is that you take ownership without being supervised, follow through relentlessly, and stay professional with everyone you deal with. This is a fully remote position for a candidate based in the Philippines, working U.S. business hours.

What you’ll do

  • Take full ownership of assigned projects from start to finish
  • Review all active projects daily and track timelines and critical deadlines
  • Coordinate with clients, surveyors, engineers, attorneys, wetland professionals and other external parties to get deliverables in
  • Manage incoming communications and decide the right follow-up method based on urgency and who is involved
  • Follow up persistently on outstanding items and escalate when necessary
  • Monitor project status actively and identify potential delays early
  • Review incoming documents for obvious issues
  • Maintain accurate project records
  • Coordinate communication between internal team members and outside professionals
