About this role
This is a bookkeeping role for people who think, not just record. You will be the primary point of contact for the bookkeeping of a fast-growing U.S. food manufacturer: managing accounts payable, entering and reconciling bills from several different sources, scheduling vendor payments, performing account reconciliations in QuickBooks Online, and handling inventory bookkeeping - including unit conversions such as pounds to kilograms, because the inventory is physical goods. The part that matters most is what happens when something does not add up. A vendor statement that disagrees with your records, a bill that appears twice, a bill that never arrived, an inventory figure that cannot be right: you are expected to notice it, investigate the cause yourself, and resolve it, without waiting for step-by-step guidance. The business is growing quickly and its processes are still being built, so you will need to be comfortable working with minimal structure and taking ownership of problems end to end. You will work directly with the U.S. client, which means explaining what you found and what you did about it in clear, plain English. This is a fully remote position for a candidate based in India, working U.S. business hours.
What you’ll do
- Act as the primary point of contact for day-to-day bookkeeping activities
- Manage accounts payable: enter bills from multiple sources and schedule vendor payments
- Reconcile vendor statements against internal records and resolve any differences
- Perform account reconciliations in QuickBooks Online
- Record inventory-related bookkeeping entries and calculations
- Perform unit conversions for inventory tracking, such as pounds to kilograms
- Identify discrepancies, investigate their root cause, and resolve them independently
- Spot missing or duplicate bills and follow each issue through to completion
- Apply 3-way matching and similar accounts payable controls
- Maintain clean, reliable records in a fast-growing business where processes are still being built
- Explain findings clearly to the U.S.-based client, in writing and on calls
What we’re looking for
- Hands-on bookkeeping experience
- QuickBooks Online (QBO)
- Accounts payable: bill entry and payment scheduling
- Vendor statement reconciliation
- Account reconciliations
- Discrepancy investigation and root-cause analysis
- Inventory-related bookkeeping entries and calculations
- Unit conversions for inventory tracking, for example pounds to kilograms
- Strong analytical and problem-solving skills
- Excellent verbal and written English communication
- Ability to work independently with minimal supervision
- A proactive ownership mindset - this role goes well beyond data entry
Nice to have
- Inventory accounting or inventory-related bookkeeping experience
- 3-way matching or similar accounts payable controls
- NetSuite or another ERP or accounting system
- Experience working with U.S.-based businesses or clients
- Vendor reconciliation and discrepancy resolution experience
