About this role
This is a high-volume, multi-entity bookkeeping role supporting a group of healthcare and optical clinics. The group is made up of several companies with a head office structure, so you will not be keeping one set of books - you will be keeping several, and making sure they stay accurate and separate. Day to day you will enter and categorize transactions in QuickBooks, process invoices with their supporting documentation, review coding for sales tax compliance, and reconcile roughly 40 bank and credit card accounts against their monthly statements, investigating anything that does not match. You will also assist with bi-weekly payroll for the doctors at the clinics and prepare payroll summaries, reconcile insurance payments and claims across locations, and keep the monthly insurance records accurate. At month end you will post intercompany journal entries and reconcile the practice management system against QuickBooks to find and resolve differences between entities. The organization is Canadian, so its books carry GST and QST. Direct experience with Canadian sales tax is welcome but not essential - if you have worked with VAT or a similar system, the concepts transfer. What matters far more is that you can carry this volume across several companies without losing accuracy, and hit recurring payroll and month-end deadlines on your own. This is a fully remote position for a candidate based in the Philippines, working U.S. business hours.
What you’ll do
- Enter and categorize transactions in QuickBooks across several company files
- Process invoices with their supporting documentation and ensure accurate expense categorization
- Review transactions for GST and QST compliance
- Reconcile approximately 40 bank and credit card accounts each month against their statements
- Investigate and resolve transactions that do not match the statement
- Assist with bi-weekly doctor payroll and prepare payroll summaries
- Reconcile insurance payments and claims across multiple clinic locations
- Maintain accurate monthly insurance records
- Track accounts receivable
- Post intercompany journal entries at month end
- Reconcile the practice management system against QuickBooks and resolve differences between entities
What we’re looking for
- Hands-on QuickBooks experience, working across more than one company file
- Bookkeeping experience
- Bank and credit card reconciliation
- Invoice processing and categorization
- GST and QST knowledge, or transferable experience with VAT or a similar sales tax system
- Payroll support
- Intercompany journal entries
- Accounts receivable tracking
- Insurance reconciliation
- Comfort with a high volume of transactions across multiple entities
- Able to work independently and meet recurring payroll and month-end deadlines without close supervision
Nice to have
- Experience with Wink or another practice management system
- Experience in healthcare or medical clinic accounting
- Familiarity with Canadian tax regulations (GST and QST)
